Purpose.........

To organize and maintain various tasks for general administrative support functions of the Management team to ensure that time is utilized efficiently.

Scope............

Responsible for providing administrative and clerical support for the Management team.

 

 

Required........

Must be highly organized and able to stay focused under pressure of deadlines or several tasks at one time.  Is self-motivated, independent working and assertive.  Excellent communication and interpersonal skills with the ability to manage and organize multiple projects or tasks that may come from different sources.  Ability to recognize and be a part of the big picture.  Display a high level of ethics and holds self and others accountable for their actions.  Ability to work in a dynamic, team-focused and self-directed environment effectively.  Creating agendas and correspondence to personnel in and out of the office is necessary.  Team building skills are vital to achieve and exceed numerous tasks that will be assigned.

 

DUTIES

 

Typical...........

Duties include but not limited to:

Maintain executives’ calendar

Schedule meetings and conference calls

Field e-mails and phone calls requests as instructed by Management

Resolving discrepancies in vendor rebates

Weekly data input for rebate program

Running, distributing and deciphering reports to Management

 

Scheduling travel itineraries for management and sales team

Coordinate related conference rooms including any catering, audio/video conference set up

 

Prepare and submit all expense reports on a timely basis for Management team

 

Participation in meetings through note taking and review of past meeting notes

Type correspondence, memos, and presentations

Prepare agendas, presentations and meeting materials

Assisting Executive Assistants in projects and duties as needed

EDUCATION

 

Required........

Candidates will have a high school diploma or equivalent.

EXPERIENCE

 

Required........

At least three years in an Executive Assistant / Administrative Assistant position with proven excellent organizational and communication skills. Candidates with less experience, but with high motivation and potential will be considered. 

 

WORKING CONDITIONS

Usual.............

The primary work location is at the main Processing/Distribution location. However, some work may be performed at other locations (i.e. weekend Conferences).  Will also be at a standard office setting with typical office equipment, including a computer and fax machine, etc.  May require light to moderate lifting of office supplies.

Special...........

Must be able to handle stress and communicate effectively.
